A gala lives or dies in the welcome. If guests arrive and the moment is unclear — where to walk, what to drink, where to stand, who they are in the room — the rest of the night fights to recover. Production, lighting, courses and speeches are downstream of one good arrival.

We design galas backwards from the welcome. Where guests arrive, what they see first, what they hold in their hand within ninety seconds, who they meet first. Get those four things right and the production has space to land.

Single project manager across venue, F&B, lighting, sound, entertainment and room flow. Locally sourced menus, plastic-free service as standard. Hosts and floor staff briefed line-by-line on the run sheet. Backup contingencies for every weather and equipment scenario — invisible to the guest.

What does the LXP team handle on a gala?

What size galas do you run?

Sixty to twelve hundred. Below sixty, a private dinner is the better format. Above twelve hundred, the venue list shrinks fast — Mallorca and Malta are the only two we'd quote with confidence.

What kinds of venues do you use?

Whatever serves the brief. Fincas, beach clubs, palacios, private estates, baroque palaces, harbour fortresses, lighthouses, cliff-top terraces. The hotel ballroom only when the schedule, weather risk or guest accessibility demands it — and we'll tell you when that's the case.

What if the weather turns?

Every outdoor venue is contracted with a sheltered alternative on site or within five minutes. The call to switch is made by the project manager four hours before guest arrival, against a written weather protocol. Guests don't see the contingency — they see the dinner.

Do you handle entertainment booking?

Yes — from string quartets and DJ sets through to international headline acts. Booking, riders, technical accommodation, transport, hospitality. We don't programme entertainment in isolation; it's chosen to match the welcome moment, not as a bolt-on at the end of the night.
